Upon Arrival

  • Company Staff will Scan QR Codes of All Participants
  • Time for a Restroom Break

Once All Participants have Arrived & are Checked in, Company Staff will Verbally Impart:
- Basic Rules & Expectations of the Rental
- Basic Traffic Laws Which are to be Observed & Obeyed for the Duration of the Activity

Once the Overview of Traffic Law & Activity Expectations have Been Imparted:
- Basic Operation of the E-Bike Controls will be Explained & Demonstrated
- Instructions About How & Where to Lock the Bike in the City and in the Shop Upon Return of the Rental
- Each Rider will be Fit to Their Bike
- Time is Given for Participants to Ask Company Staff for Further Explanation Regarding the Activity that May Need Further Clarification

Last Items Before Departure, Company Staff Will:
1. Establish the Rental Return Time and Relay that Time to All Participants
2. Verbally Impart the Door Code Needed for Office Re-Entry & Rental Returns

Special Requirements: - Participants Must Be 12+ Years of Age and at Least 5' Tall to Participate on any Pedal Bike Activity

  • Participants Ages 12-18 Must Be Accompanied by a Parent or Legal Guardian and Must Have a Digital Waiver Completed by Parent or Legal Guardian

  • Helmets are options and available Free of Charge


Restrictions: # All Participants Must

  • Be in Good Health
  • Be Able to Demonstrate to Company Staff the Ability to Safely Operate the Vehicle and Associated Equipment Prior to Departure
  • Be of Sound Mind with the Ability to Make Decisions Considered Normal By Societal Norms
  • Utilize Safety Equipment when Present on the Vehicle or Directed by Company Staff

Mobile Phones & Digital Communication Devices

While the Vehicle is in Motion, Do Not Use Any Digital Communication Device For:
- Calls
- Texts
- Live Video Streams
- Entertainment
- et al.

Interacting with Anything that is Not Pertinent to Safe Operation of the Vehicle Can Pose Significant Safety Risk to You & Others and is Prohibited by Company Policy.


Refusal to Follow Guide's Directives:

  • Tours: Any tour participant who does not listen to the tour guide's verbal instructions or directives, or is deemed by the Guide as a risk to themselves or others will be considered to be in violation of Company policy and subject to disqualification and immediate removal from the activity

  • The Undersigned understands that the Company does not carry health, medical, liability, property, or any other insurance coverage for the Undersigned

  • The Undersigned is expected to personally cover all costs arising out of injury to any person or damage to any property, including property of the Company


Bicycle Riding Ability & Refusal to Participate

  • Please ensure that you and all members of your party can safely and confidently ride a Bike before arriving for your bike tour or bike rental

  • If any rider does not possess sufficient riding skills to safely operate the vehicle, that individual will not be allowed to attend the activity in which case neither a refund nor gift card will be issued.

  • Sufficient Skill must be Demonstrated Prior to Activity Departure; Company Staff will Determine if Participant Possesses Sufficient Skill to Participate


If for any reason a participant refuses participation, cannot participate, or is Deemed 'Unsafe to Participate' by Company Staff- Neither a Refund, Reschedule, Transfer Nor Gift Card Will Be Issued

Disclaimers: # Damage Deposits & Damaged Equipment Charges

Regarding the Losing, Breaking, Damaging, or Theft of Company Equipment: Each Individual Participant is Legally Bound & Liable to Monetarily Compensate the Company for All Loses Associated with the Equipment in Question → No Exceptions will be Made.


  • While in possession of company vehicles and equipment; all costs incurred by Clients (driver and passengers) are the responsibility of the Client Party.

  • Neither the Company nor it's affiliates will accept or be held liable for any costs incurred by or attributed by the Client Party, however defined by a third party claimant, while in possession of Company vehicles and equipment.

The Undersigned Authorizes the Company to Charge the Credit Card on File for Monies Due, Including Taxes, Without the Undersigned Present for Scenarios Including but Not Limited To:

  1. Lost, Damaged and/or Stolen Equipment: Will Result in a Replacement Costs, Labor Costs, Shipping Fees + Any Applicable Tax

  2. Replacement Charge for Lost or Damaged Key or Key Fob: $35 to $250 Depending on the Model - Payable Immediately

  3. Stolen Equipment Replacement: If Your Vehicle or any Company Equipment that was Lent to You is Stolen, You are Responsible for Replacement Costs, Shipping Costs + Taxes and Labor Costs for Ordering, Assembling, Testing, Numbering, Labeling, Cataloging, etc.

  4. Your Account will be Charged No Less than $650 Per Pedal Bike, $1600 per E-Bike, $3000 Per Scooter, and Up to $20,000 Per Unit for Other, More Expensive Vehicles

  5. A Refundable Damage Deposit Secured Via Credit Card Transaction is Required for Any & All Rental Equipment Deemed Necessary by Company Staff

  6. If the Vehicle is Returned in Good Condition and with No Damage, No Additional Charges will be Incurred and the Damage Deposit Refunded in Full

  7. If the Vehicle is Returned with Damage, the Repair Costs will be withheld from the Damage Deposit

  8. If the Repair Costs Exceed the Amount of the Damage Deposit, Your Account will be Charged the Balance for Repair and/or Replacement, Labor and Shipping Costs

  9. If the Damage is Severe Enough that the Vehicle is Rendered Unusable Until Spare Parts Can be Ordered, Received, Installed, and Tested - and Until Appropriate Maintenance & Safety Inspections can be Performed Enabling the Return the Vehicle to Service

  10. The Customer, Due to Their Intended or Unintended Negligence and It’s Resulting Vehicle Damage and Subsequent Consequences, can & will be Held Monetarily Liable for Any and All Lost Rental Revenues and any Other Liabilities Incurred by the Company for the Entire Time Span that the Vehicle is Out of Service


  • Cancellations, Reschedules, Refunds are at the Company's Discretion. Any and all approved cancellations will have a transferable gift card issued

  • Cancellation and/or rescheduling requests require a minimum of 48 hours notice -> Do Not Call. All Requests Must Be Sent to the Company Email Address. Reschedule Requests Outside of 48 Hours are Dependent on Availability

  • Cancellations and/or Reschedules inside 48 hours are not eligible for refunds or activity rescheduling

  • 'No Shows Will Neither Receive a Refund, Reschedule,Transfer, Nor Gift Card

  • Late Arrivals (Tours): Once the tour embarks from our starting point on the street corner near the office - Refunds, Reschedules, Transfers, Gifts Cards, etc. Will Not Be Issued.

  • Late Arrivals (Rentals): this usually is not an issue unless it's peak season like Jazz Fest, Halloween, et al. or if we have reservations relying on precise pickup & return times. Please inform the shop via email or phone call that you will be late; a Company rep will inform you if your late arrival is going to be problematic


Any tour participant who does not listen to the tour guide's instructions, violates Company policy, or is deemed a risk to themselves or others will be disallowed from continuing the tour.

  • The Participant Will Be Responsible for Any Incurred Costs Including Transportation Costs Associated with Transporting Them to Their Destination
  • Once Disqualified from the Activity, the Participant Will Be Without the Use of Any Company Vehicles or Equipment
  • Neither a Refund, Reschedule, Transfer nor Gift Card Will Be Issued

Weather Policy

  • Please do not contact us about the weather forecast; forecasts are for a general area and not necessarily for your specific location. Meteorologists are more often wrong than they are right.

  • FreeWheelin' has been rolling Bike Tours & Rentals for 15+ years - we are really good at determining if the weather is going to present an issue

  • In the event of Severe Weather, e.g. a lightning storm, sustained high winds, etc. - Company Staff will contact All Parties via text message, email or phone call One Hour before the scheduled departure time to adjust the departure time or reschedule the activity

  • Participants Who Decline Activity Participation Due to Weather Conditions that are Deemed Acceptable by the Company are Not Eligible for a Refund, Reschedule, Transfer, Gift Card

  • If the Company Cancels/Reschedules the tour due to severe weather, and your schedule does not allow for a new tour time, you will be offered a transferable gift card or refund

  • Bike Tours are Dependent on the Weather Radar. Company Staff Will Make the Determination as to Whether or Not the Tour Will Take Place or Will Need to be Rescheduled


Bike Rental departures are not allowed while rain is falling. When there is a break in the rain and the weather is determined to be suitable for departure, a Company rep will green light your departure

  • If you or your party members decline to participate due to weather conditions deemed acceptable by the Company - Neither a Refund, Reschedule, Transfer, nor Gift Card will be Issued.

Bike Riding Ability & Refusal to Participate:

  • Please Ensure that All Participants Can Safely & Confidently Operate a Bike Prior to Arriving for the Biking Activity

  • Sufficient Skill Must be Demonstrated to Company Staff Prior to Departure; Proficiency Will be Determined by a Company representative.

  • Participant Who Do Not Possess Sufficient Skills to Safely Operate the Bike Will Not be Allowed to Participate in the Activity in Which Case Neither a Refund, Reschedule, Transfer, nor Gift Card will be Issued.

  • All Sales are Final with Exception for Severe Weather or Safety Concerns as Determined by the Company

  • Any and All Cancellations, Reschedules, Transfer, Gift Card Issuance, and Refunds Are at the Company's Discretion

Company Cancellation or Reschedule Due to Severe Weather or Safety Concerns

  • Cancellations and Reschedules due to Severe Weather or Safety Concerns are at the Discretion of the Company

  • In the Event of Severe Weather or Safety Concerns, a Company Representative will contact you via text message or email One Hour before the scheduled departure time to adjust the departure time or reschedule your Bike Rental/Tour

  • If the Company Cancels/Reschedules the Bike Rental/Tour due to Severe Weather or Safety Concerns, and your schedule does not allow for a new activity time, you will be offered a transferable gift card or refund


General Cancellation Policy

  1. Cancellations Inside of 24 Hours = No Refund or Reservation Adjustments of Any Kind.

  2. All Cancellations and Rescheduling Requests Must Be Submitted in Writing Via the Company’s Email Address - No Less Than 24 Hours Prior to Scheduled Departure.

  3. Failure to Comply With the Above Policy Will Result in Automatic Forfeiture of Payment in Addition to Any Additional Monetary Costs Incurred By the Company That are Attributed to the Client's Late Return.

  4. Parties That Decide To 'No Call/No Show', ‘No Longer Want to Ride’, 'No Longer Comfortable Riding', Suffer ‘Food Poisoning’, ‘Twist An Ankle’, or Decided To Espouse Any Similar ‘Reason’ As to Why They Cannot, or No Longer Want to Attend or Be Present For the Scheduled Activity → Will Not Receive a Refund.

  5. Parties Who Do Not Respond to Company Inquiries Within a Reasonable Amount of Time, and By Default Become Late, or for Any Reason Miss the Reservation Time Are Ineligible for Rescheduling, Transfers or Monetary Compensation.

  6. The Company Documents ALL Incoming & Outgoing Communications Via the Client's Online Reservation File; Company Staff Knows When All Communications Were Sent, Delivered, Opened, Replied to, and/or Ignored.


Late Arrivals

  1. It is Not the Responsibility of the Company to Ensure That the Client is On Time For the Reservation.

  2. Late Arrivals for the Appointed Reservation Time Are Subject to Forfeiture of Funds and/or Adjustments to the Activity's Duration.


Late Returns

  1. Are Subject to a Charge of $1 For Every Minute That the Vehicle is Overdue for Return
